Privacy Policy
Last updated: 12 October 2026
This policy explains how we handle the personal data you share with us when you register your interest in the “Eat. Move. Explore.” retreat at Villa Minati, Bali. We collect only what we need to answer your enquiry and organise your stay.
1. Who we are
The controller of your personal data is Villa Minati, Ubud, Bali (“we”, “us”).
For any privacy question or request, contact us at villaminatibali@gmail.com.
2. What data we collect
When you submit the registration form, we collect:
- your full name, email address, phone / WhatsApp number and country;
- trip details: whether you travel solo, with a friend or a group, your friend’s name (optional), number of people and preferred retreat edition;
- any message you choose to send us;
- the date and time of your submission and your consent to be contacted.
Please only give us your friend’s name if they are happy for you to share it.
3. Why we use it and on what legal basis
- To answer your enquiry and send you information about availability, pricing and booking — steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) and your consent (Art. 6(1)(a) GDPR).
- To organise your retreat if you book — performance of a contract (Art. 6(1)(b) GDPR).
- To meet legal obligations, e.g. accounting and tax records if you book (Art. 6(1)(c) GDPR).
We do not use your data for automated decision-making or profiling, and we do not sell it. We will only send you marketing about future retreats if you have separately agreed to it.
4. Who has access to your data
Your data is seen only by our team and by the service providers we use to run this website:
- Google (Google Sheets and Gmail) — stores form submissions and sends us an email notification for each one;
- Vercel Inc. — hosts this website;
- Google Fonts — delivers the fonts used on this page, which involves your browser connecting to Google’s servers.
If you book, we may share the details necessary for your stay with local partners who deliver parts of the programme (e.g. airport transfers or excursion guides), only to the extent needed.
Some of these providers may process data outside the European Economic Area. In that case the transfer is protected by an adequacy decision (such as the EU–US Data Privacy Framework) or by the European Commission’s Standard Contractual Clauses.
5. How long we keep it
We keep enquiry data for up to 24 months after our last contact, or until you ask us to delete it or withdraw your consent, whichever comes first. If you book, we keep booking and invoicing records for as long as the law requires.
6. Your rights
You have the right to:
- access your data and receive a copy of it;
- have it corrected or deleted;
- restrict or object to its processing;
- data portability;
- withdraw your consent at any time, which does not affect processing carried out before withdrawal.
To use any of these rights, email us at villaminatibali@gmail.com. You also have the right to lodge a complaint with a supervisory authority. In Poland this is the President of the Personal Data Protection Office (Prezes UODO), ul. Stawki 2, 00-193 Warsaw, uodo.gov.pl.
7. Cookies
This page does not use cookies for tracking or analytics. If we add analytics in the future, we will update this policy and ask for your consent where required.
8. Is providing data required?
Providing your data is voluntary, but without your name and contact details we cannot reply to your enquiry or reserve a place for you.
9. Changes to this policy
We may update this policy from time to time. The current version is always available on this page, with the date of the last update at the top.
